We are currently looking to add an organized and efficient Office Administrator to our London team. This will be an in-office role working out of our VersaBank Innovation Centre of Excellence (VICE) office.

With a commitment to exceptional customer service, the Office Administrator will be responsible to ensure our VICE office is running smoothly and effectively. You will champion our office processes and practices identifying efficiencies through the lens of resource and cost optimization. As the VB Ambassador you will maintain strong relationships with our contractors, employees, and visitors and always ensure our office is welcoming, inclusive and organized.

Primary Responsibilities include:

  • Effectively oversee inventory management, encompassing office supplies, refreshments and kitchen provisions
  • Ensure effective operation of facilities, including corresponding with all contractors, scheduling regular building maintenance, landscaping, snow removal, cleaning and waste removal as well as ad hoc office duties
  • Maintain contractor database with all contacts in the event of an emergency including cleaners, airport security, alarm company, roofers, electricians, plumbers, city sewer/water main issues, etc.
  • Assist in the review and renewal of maintenance contracts as needed, ensuring competitive pricing and accurate invoicing
  • Act as main point of contact for after hours third-party security contractors, which may require attending to alarms beyond work hours.
  • Manage the office meal plan, ensuring ordering is accurate, and mitigate any issues
  • Support the planning, organization, and execution of company wide events and smaller office social gatherings as necessary
  • Conduct thorough reviews of administrative invoices and ensure their timely submission to the accounting department for payment
  • Other assigned general administration duties as necessary

What you’ll need to be successful in this role:

  • Post-secondary degree or diploma in an associated or related field
  • Minimum 2 years of experience in receptionist/office administrator role
  • Advanced proficiency in Microsoft Office applications (Excel, Word, Power Point, Outlook)
  • High degree of professionalism and discretion with the ability to exercise sound judgement
  • Excellent written and verbal communication skills with the proven ability to interact with all levels of an organization
  • Strong organization skills with the ability to prioritize and problem solve effectively
  •  Ability to act with business integrity and possesses strong attention to detail
